Position: Front Office / Reservation Executive

Department: Front Office

Location: TGI Grand Fortuna, Hosur

Reporting To: Front Office Manager

Job Summary

The Front Office / Reservation Executive is responsible for handling all room reservations, providing excellent guest service, maximizing room occupancy, and ensuring accurate reservation records. The role serves as the primary point of contact for guests making reservations via phone, email, online travel agencies, and walk-ins while coordinating closely with the Front Office, Sales, Housekeeping, and Revenue teams.

Key Responsibilities

  • Handle all room reservation inquiries through phone, email, website, and OTA platforms.
  • Process individual and group reservations accurately in the Property Management System (PMS).
  • Provide guests with accurate information on room types, rates, packages, promotions, and hotel facilities.
  • Confirm bookings and send reservation confirmations promptly.
  • Modify, cancel, or amend reservations as per hotel policies.
  • Monitor room availability and update reservation inventory regularly.
  • Coordinate with Front Office and Housekeeping to ensure room readiness.
  • Maintain accurate guest profiles and reservation records.
  • Upsell room categories and hotel services to maximize revenue.
  • Handle guest requests, complaints, and special requirements professionally.
  • Prepare daily reservation reports, occupancy reports, and arrival/departure lists.
  • Ensure all reservation-related documentation is maintained accurately.
  • Follow hotel SOPs, service standards, and brand guidelines.

Required Skills

  • Excellent verbal and written communication skills.
  • Strong customer service and guest handling skills.
  • Good telephone etiquette.
  • Knowledge of hotel reservation systems/PMS (IDS, Opera, or similar).
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Good organizational and multitasking abilities.
  • Ability to work under pressure and rotational shifts.

Qualifications

  • Diploma or Bachelor's Degree in Hotel Management or Hospitality Management.
  • 1–3 years of experience in Front Office or Reservations in a hotel.
  • Freshers with strong communication skills and hotel internship experience may also be considered.
